1. Position SummaryÂ
The Office Manager is the backbone of RIM’s daily operations, ensuring a well-organized and managed RIM secretariat.
This role requires managing administrative complexities while serving members and stakeholders with an open-minded attitude to address all issues that will foster strengthening institutional development and advancing members welfare.
2. Key Terms of Reference and Responsibilities:
- Assisting in Development and implementing the RIM strategic plan and initiatives, including activities and action plans to position RIM at high standard of profession.
- Office management, manage institutional property, and ensure operational efficiency
- Organizing RIM members and public complaints handled by the RIM c organs;Â
- Assisting in Handling members’ and clients’ correspondences to ensure that their concerns and inquiries are adequately addressed;
- Periodically evaluate RIM membership needs and inform strategies for the RIM Board to adopt in order to ensure continued satisfaction and appreciation by its members;
- Developing and maintaining database of reliable and authentic information on the members of RIM;
- Assisting in the designing and implementation of members’ welfare programs and activities;Â
- Assisting in identification of emerging issues and areas of training for members;
- Assisting in formulation and implementation of a Continuous Professional Development (CPD) program;
- Maintaining an efficient CPD database at the Secretariat;
- Promoting RIM partnership with other training institutions at national regional and international level;Â
- Coordinating, implementing & Evaluating the RIM Pro bono services & initiatives;
- Assisting in the development of the RIM program related projects;
- Initiating and generating strategies to promote Professional Development within RIM membership;
- Preparing and submitting monthly, quarterly and annual activity work plans and progressive reports to his/her superior
- Any other lawful duties as may be assigned by the superior organ or individuals.Â
3. Qualifications & Experience
- Bachelor’s degree in either Business Administration, Management, Law, Public Administration, Project management or a related field.
- Minimum of 3 years of experience in office management, executive administration, or project coordination (experience in NGO environment is preferred).
- Fluency in Kinyarwanda and either or both of the two other official languages (English or French) (written and spoken) is required. Working knowledge of the other is a strong asset.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and cloud-based collaboration tools (Google Workspace).
